How to compress your PDF for email step by step
First, select and add your files. The free tool accepts up to 3 files and up to 200 MB per batch.
Next, keep the default Recommended mode, which uses 150 DPI and 70% quality. This mode resizes images while leaving text, links, and drawings untouched and sharp. If you need a smaller file to meet email limits, choose 100 DPI and 60% quality.
Finally, check the new file size displayed by the tool. For scanned documents where text search is not needed, you can select Strong mode to get the smallest possible file size.
Our test process and verification results
We tested the free tool on November 5, 2026, using Chromium on desktop. The suite evaluated 15 distinct test cases covering typical files, edge cases, and batch caps.
All 15 tests passed. A typical 3-page document went from 3.2 KB to 2.4 KB, resulting in a 24% reduction through internal cleanup. A file containing Korean, Japanese, Chinese, Arabic, Hindi, Thai, and Russian text completed without errors, shrinking from 43.8 KB to 42.1 KB.
How the tool handled invalid and protected files
The tool rejected corrupt, non-PDF, and unreadable files immediately. When we tested an empty 0-byte file, a 1-byte file, a cut-off file, and a JPEG renamed to .pdf, the tool displayed: "This file is not a valid PDF or it is damaged. Try re-saving it from the app that created it."
Password-protected files cannot be compressed directly. When loaded with a locked file, the tool output: "This PDF is locked. Unlock it in your PDF reader, save an unlocked copy, then add that copy."
Edge cases with file names passed without errors. Files with very long names, extra spaces, emojis, and Korean or Japanese characters all processed normally.
Free tier limits and when to use another approach
The free tier allows up to 3 files and 200 MB total per batch. Attempting to add a fourth file triggers: "Only 3 files fit in one batch. Compress these first, press Clear, then add the rest." Exceeding 200 MB blocks the file with: "pdf_mb_201.pdf was not added: one batch can hold 200 MB in total. Compress these first, press Clear, then add the rest."
Strong mode has a maximum limit of 1,000 pages per file. Because Strong mode converts pages into images, text cannot be selected or searched, and links stop working.
This tool is not the right choice if you need to compress locked PDFs without unlocking them first. It also does not include a target-size input box, meaning you cannot target an exact size like 1 MB or 200 KB.
We re-run these tests when the tool changes. Results describe this tool on the date shown.
Frequently Asked Questions (FAQ)
Q. Which settings should I use to fit a PDF in an email?
Use the default Recommended mode at 150 DPI and 70% quality. If the file is still too large for your email service's 20 to 25 MB limit, compress it again at 100 DPI and 60%.
Q. Are my confidential documents uploaded to external servers?
No. Files are opened and rebuilt inside your browser on your own device. Nothing is sent to external servers or third parties.
Q. Can I compress a PDF to an exact target size like 1 MB?
There is no target-size box. However, the tool shows the new size immediately, allowing you to lower the resolution and quality if further reduction is needed.
