Editing a PDF: Whiteout, Text and Redaction
Decide what you need to change
A PDF may contain selectable text, scanned images, form fields or a combination of all three. Adding an annotation and deleting sensitive information are different jobs. Before editing, save a copy of the original and determine whether your goal is to correct visible wording, fill a form, or remove information before sharing.
Add or change visible information
Open Edit PDF and select a document you are authorized to change. Use Add text for a new label, Image for a picture or stamp, and Select to move or resize an item. The editor can also place a replacement text box over an existing text line. Check the result in a PDF reader after saving: fonts may differ from the source, and text in some writing systems is saved as an image rather than searchable text.
Whiteout is not secure redaction
Whiteout and the editor's text replacement cover the old content visually. The original text can remain inside the PDF and may still be searchable or copied. Do not rely on a white box to conceal account numbers, addresses or other private material. Use Redact PDF when information must be removed, read that tool's instructions and limitations, and inspect a saved copy before sharing.
Check for sensitive information on every page, in annotations and in metadata as appropriate. Search and copy tests are useful checks but cannot prove that every hidden item has been removed. If disclosure would have serious consequences, use an established redaction workflow and independent review appropriate to the document.
Scans, signatures and forms
A scanned page is an image: there may be no original text line for the editor to select. OCR can extract words for a separate text result, but recognition errors are possible and it does not itself remove information from the original PDF. Editing a signed or official document can invalidate a signature or create legal problems; follow the issuer's instructions and use an authorized workflow.
The editor processes PDFs in your browser. If you subsequently send the result by email or save it to a cloud provider, that destination receives the file under its own terms. Keep the original until you have verified the new copy.
A review sequence for a shared copy
Suppose an invoice has an old address and a bank account number that must not be shared. Adding a corrected address with the editor can change the visible presentation, but it does not establish that the old address is gone. Treat both the old address and the account number as redaction tasks if they must be removed, mark every occurrence, then inspect every page of the saved redacted copy.
Review comments, attachments and other document elements according to your organization's procedures as well. Do not assume a search result proves a scanned number is absent: search cannot see text that is only part of a picture. When accuracy matters, ask a second person authorized to see the original to compare the copy with the intended disclosure.
Common questions
Can I use the editor to replace a typo?
For a visual correction, the editor can cover an existing line and place replacement text over it. The original line may remain beneath the replacement. Check the font, spacing and saved output in a PDF reader, and ensure you have permission to change the document. If the original words must not be recoverable, use a suitable redaction process instead of a visual cover.
Is a black rectangle sufficient for redaction?
A shape drawn over text is not sufficient by itself: the content below it may still be present. The redaction tool described here rebuilds pages as images with the marked areas painted in. Inspect every page and its instructions carefully, especially when a search cannot find information inside a scan or a word split across lines.
Why did my search miss a name?
A PDF may store words as images, split text into fragments or use a spelling different from the one you searched. Manually inspect pages, headers, footers, handwritten notes and other locations where the information may appear. A search is a useful aid, not a substitute for reviewing the document. If the consequences of an error are serious, use a second authorized reviewer.
Does the result preserve interactive features?
A rebuilt image-based redacted copy can lose selectable text, links, forms and other interactive content. Plan for that trade-off before sharing. If a recipient needs an accessible or searchable document, use an appropriate professional workflow and verify that the final deliverable meets those requirements without exposing the removed material.
Can I edit a digitally signed document?
Changes may invalidate an existing signature or undermine the recipient's verification process. Follow the issuer's procedure instead of assuming an edited copy remains valid. Keep the signed original and obtain a corrected document from the issuer where necessary.
